This is a reminder that our Annual Meeting is approaching quickly. It will be held on Tuesday, October 23, 2018 at 7:00 pm at the Prairie Mountain School (same location as last year).

The West Eugene Village HOA bylaws set the date for our annual meeting and the schedule for election of WEV officers.

Our WEV annual meeting this year will be held on Tuesday, October 23rd. The position of WEV President of the board of directors is up for election. The purpose of this letter is to call for nominations for the WEV position up for election for the 2019 term (please note that all WEV board positions are volunteer positions). Each position serves a three year term.

Responsibilities of the WEV President:

The President shall preside at all meetings of the Board of directors; shall see that orders and resolutions of the Board are carried out; shall sign all leases, mortgages, deeds and other written instruments, and shall co-sign all checks and promissory notes.

Staffing Update

Hello WEV Homeowners,

At our last board meeting, the board voted to terminate our working relationship with Suzy Payne, former WEV Bookkeeper.  Our Treasurer, Darla Berge, volunteered to take over the accounting needs of the association until such time as we can hire a new bookkeeper.  During this time, Darla will also be able to evaluate the actual bookkeeping needs of the association so we insure we do not overpay for this service.  For now, if you have any questions about your account, please contact Darla Berge by email at westeugenevillage@gmail.com.  Please note that Darla works full time and is volunteering to do this.  She will work on WEV business in the evenings and weekends so you will need to have patience in getting response from us.

Once we get a new bookkeeper hired, we will notify everyone of the new contact information.

Remember to mail in your ballots for the pending CC&R changes

Hello WEV Owners,

In May we mailed out a packet with the proposed CC&R changes along with a ballot for each of you to vote and mail back to the association. As of today, we have only received 38 ballots and are asking the rest of you to please dig out those ballots and get them mailed in as soon as possible.

If you have any questions or have miss-placed your packet, please feel free to contact the HOA and someone will make sure you get a new packet.

Annual Community-Wide Garage Sale – June 23rd and 24th

Hi WEV Homeowners,

This is a reminder of the upcoming Community-Wide Garage Sale sponsored by our association. Per our Spring 2018 Newsletter, the garage sale will occur the weekend of June 23rd and 24th.

WEV will be placing an ad in the local newspaper and also put signs out on Terry and Avalon.

In previous years, this has been a very successful event. This is a great time to get rid of those ‘extra’ household items. Please be sure and let your friends and family know that this is coming up. We hope many homeowners will participate.

March 2018 Board Meeting Date Changed

Hello WEV Homeowners,

Our monthly board meeting in March needs to be changed.  We will be meeting at 7:00 pm on Thursday, March 22, 2018.  The meeting will be held at 5275 Bridgewater Drive.

If you know of any neighbors that do not have access to our website or email, please pass the word for us.

Annual Meeting to be held Monday, October 23, 2017 at 7:00 pm

This is a reminder that the annual meeting will be held Monday, October 23, 2017 at 7:00 pm at Prairie Mountain School, 5303 Royal Ave, Eugene, OR 97402.

This meeting is a great opportunity to mingle with other homeowners in our association and get to know some of your neighbors.  It is also a chance to hear what has been going on in and around our association.  We do have an election for two of the board seats tonight as well.  Our treasurer will be going over our associations financials and providing the new 2018 approved budget.

We hope to see everyone there.

Pending changes to our CC&R’s

Good Afternoon WEV Homeowners.  Your Board of Directors is asking that all WEV homeowners preview some pending changes that the Board, along with the ACC Committee, have been working on.  For those of you who have provided our Treasurer your email address, copies of the CC&R changes were emailed earlier today.  For those of you who we don’t have email addresses for, copies will soon be distributed to you by volunteers from our HOA.  Please watch for those to arrive soon.

If you would like copies of these pending changes by email, please contact our HOA Bookkeeper, Suzy Payne from the Contact Us page and provide your email address.  We will be happy to get you copies of the information.

Once you have the recommended changes in hand, please take some time to review the changes.  Please make note of any of your questions and either notify our ACC Committee Chair, Jeff LaCava, with your questions or please feel free to bring them with you to our upcoming Annual Meeting which will be held in October (information on Venue, date, and time to come soon).

Remember to activate your WEV Owner Portal

Hello WEV Homeowners,

Over the past several months our new accounting software has sent out notices to all homeowners, those that we have email addresses for, and asked that you please activate your owner portal.  We currently have 32% of our homeowners that have activated their portal.  In addition, 39% of our homeowners have not provided an email address to our bookkeeper, Suzy Payne.

I get many questions such as “Why should I activate my portal?”  Below are the reasons why you should activate your portal:

  1. You can view your ledger in real time.  This means that as soon as a charge is added or a payment is posted, your ledger is updated and you can see all activity hitting your account.
  2. You can make a one-time payment or set up recurring payments.  No need to mail checks any longer.  You can pay by E-Check for free, or for a fee you can pay by Credit or Debit card (fees are listed before you initiate the payment).  You are not required to make payments online, but it is a great feature.
  3. You will have access to all shared documents.  We share the quarterly newsletter, monthly meeting minutes, and annual financials through the portal.
  4. The Board is easily able to reach out to homeowners by email with upcoming news, events, or neighborhood issues with the click of a button.
  5. Once we have your email address, we are able to send your quarterly assessment statement by email rather than by US Postal Service.  This saves the HOA and subsequently, all of us money in supplies and postage.

Many folks have said to me that they don’t want to activate the portal because they don’t want to make payments online.  I remind everyone, by activating the portal, you are not required to make online payments through the portal.  That is a great benefit, but it is just one of many great benefits of the online portal.

If you have not activated the portal, please do so soon so you do not miss out on any shared documents or WEV notifications.  If we do not have your email address, please go to our “Contact Us” page and provide your email to our bookkeeper, Suzy.  She will then update your information in our software and send you out an activation email.

Next Board Meeting – Thursday, September 21, 2017

Good Morning West Eugene Village Homeowners,

Our next board meeting is scheduled for Thursday, September 21, 2017 at 7:00 pm.  The meeting is scheduled to take place at 5275 Bridgewater Drive.

Please note that board meetings are held on the 3rd Thursday of every month.  In October, we will have our Annual Board Meeting.  Due to larger attendance, it will be held at a different location.  We are working on securing the venue and once we have it secured, we will announce the location, date, and time.
